WWU Give Day Ambassador guide

Create your Ambassador account

Each Ambassador account gets one link to one program. If you want to be an ambassador for multiple programs, create an ambassador account for each one.

  1. Visit the Ambassador page on the WWU Give Day website.
  2. Enter your email and click  
  3. Check your email for a confirmation link from the ScaleFunder platform. Use that link to activate your account.

Link your account to your chosen program

Log in to your Ambassador account.

Next to the referral link provided, look for the Referred Page drop down field. The default is the WWU Give Day home page. Click on that drop down field to select the program you want the link to go to. If a program name has a check next to it, it is selected.

Once you've selected your program, team or club, the link will change to point to that page.

You can also create a unique short URL link in the next field. Put in custom text, like the name of your program or an abbreviation, and click Save.

Why do I need my own URL?

This is a unique link just for you. The ScaleFunder platform uses that link to track your outreach activity and gifts collected via that link. This is how the platform tracks how many donations you raised and the total amount you raised. You'll see this count in your account.

Share on social media

Use the hashtag #wwugiveday

This makes your post findable for WWU and other WWU Give Day Ambassadors to see and share your post too!

Send people to the WWU Give Day website

Share the WWU Give Day website wwugiveday.wwu.edu so that they understand what WWU Give Day is all about. You can also share your unique Ambassador link to send them directly to the donation page for that program.

Pro tip:

Write all your emails in advance. If the email platform you're using has it, use the Schedule Send feature so they'll all go out on time automatically.

Text people you know

On WWU Give Day, send texts to people who may not be looking at social media or email. See sample texts in the WWU Give Day messaging toolkit.

Talk about it

The most effective marketing is word-of-mouth. Wherever you talk to people, if you can think of a way to bring it up, tell them about your program and about WWU Give Day.

The most important thing you can do is share what your program means to you. WWU Give Day is the day people can give the most support with donation matching. People who want to support your program will want to know that!

Outreach schedule

Use this schedule to coordinate what you send out with what goes out from WWU University Advancement (UA). Some of the people you reach out to will receive other emails from Western and see social media from other areas of Western. These will be very general, and only shared from Western's main social channels and email list. It helps a lot if you share what is special about your program with your own network!

Before WWU Give Day

3-4 weeks ahead: a Save The Date email and social posts go out from UA.

2 weeks ahead: UA shares social posts about WWU Give Day on Western's main channels. Other areas of Western may re-share this on their own channels.

1 week before WWU Give Day: Early Giving opens! 
  • UA shares social posts and an email telling everyone that Early Giving is open. UA may share a few more social posts between now and WWU Give Day.
  • You tell your network that Early Giving is open, using your social media channels and emails.
  • You can look for social posts from WWU to share on your networks too.

WWU Give Day

  1. UA sends: Give Day Kickoff Email (12:01 AM)
  2. UA Social Post: Today is the day!
  3. You Send: Give Day Email 1 (9 AM – 11 AM)
  4. UA Sends: Mid-Day Update Email (12 – 1 PM)
  5. Your Social Post: Today is Give Day
  6. UA Social Post: Mid-Day Update
  7. You Send: Give Day Email 2 (2 PM – 4 PM)
  8. UA Sends: Evening Update Email and reminder to give (5 PM – 7 PM)
  9. UA Social Post: Haven’t had a chance to give yet? Do so now!
  10. Your Social Post: There’s still time to give!
  11. UA Social Post: Final Opportunity to Give (11:00 PM)
  12. UA Sends: Final Opportunity to Give Email (10:00 PM)

After WWU Give Day

We'll leave the donation form open a little longer so people can sneak in last minute gifts. Note that donation matching only happens on the day of WWU Give Day though!

2-3 days after

UA shares thank-yous on social media.

You use your social channels to thank people for supporting your program! Final results won't be ready yet, so just a general "thank you" message will do.

About a week after

Once you've got the final results on total dollars raised for your program, send a formal thank-you email to your contacts - even those who didn't give. You can share links to your program's web page too.
